Save & release

Saving a Panviva document increases the document's version number by one and writes the current content of the document to the database.

Each saved version is accessible via the document's history.

Saving and releasing documents controls:

  • The availability of new documents to users; and
  • The release of changed documents to users.

Save documents

Each time an author saves a document, property changes can be applied to the document, including:

  • Releasing the document or version for users to see; and
  • Save and apply property changes at a later time.

Release versions

A document version is released to Viewer A user role with read-only access to Panviva documents who can also submit feedback. according to the percentage complete setting:

The document version is released to Viewer according to the appropriate read permissions.

0 - 99% (I.e. any figure less than 100%.)

The document version is not released to Viewer.

"Unreleasing" versions

Released versions cannot be "unreleased."

If the document's percentage complete is changed to less than 100, (E.g. 99, 60 etc.) the document still displays in Viewer, but any changes made are not released until the percentage complete is again set to 100.

Release dates

When releasing versions, the percentage complete is read in conjunction with the release date. If the release date is:

  • Today or a date in the past, a percentage complete of 100 releases the document in Viewer.
  • Set for a future date, a percentage complete of 100 does not release the document until the set release date.

Record change notes

Recording change notes is optional. However, it plays an important role when creating and maintaining Panviva documents.

Recording change notes is commonly used for recording major changes to the document, for example:

Change notes are visible when a document's history is viewed. If meaningful notes are recorded, any saved version of a document should be found with ease.

Review & revert to previous versions

Each document version can be reviewed at any time or compared with another version. This provides a great way to retrieve content that was deleted earlier but is now required.

When reviewing a previous version the document opens as read-only. From here the content to be retrieved can be copied and pasted, or the entire document can be saved as the latest version.

Apply workflow

The Workflow A structured sequence of steps or approvals that guide users through a process in Panviva. functionality enables authors to save documents for review/approval before releasing them to Viewer.

This is done by selecting a Workflow from the Save dialog box.
